
Executive Administrative Assistant

This position will work directly with the Chief Executive Officer (CEO) and performs both routine and non-routine administrative activities in support of leadership and Executive Board of Directors.
Responsibilities:
- Directly assist the Chief Executive Officer with administrative needs and provide additional support to other leadership staff.
- Act as liaison among Vera House agency, Board, and Foundation.
- Organize and prepare meeting agendas, calendar invitations with appropriate meeting spaces, attendance reports, and meeting minutes as needed in multiple settings both in-person and virtual for the CEO and Executive Board.
- Prepare in-person meeting spaces by maintaining clean, organized meeting rooms, ordering food/beverages as requested, and ensuring any supplies, resources, or visual technologies are properly set up in advance.
- Support follow-up documentation, reminders, requests, and other supplemental items from meetings.
- Process letters, correspondence, reports, thank you notes, memos and contracts.
- Assist in maintaining forms, files, information packets, manuals, and other agency literature.
- Assist in large mailings including maintaining address lists within CRM and/or electronic database.
- Assist with grant management correspondence as requested.
- Assist with maintaining business cards, name badges, and security access fobs.
- Assist with managing facilities maintenance items including janitorial needs, maintenance contractors, and furniture moves or disposal.
- Provide backup assistance to the reception desk as needed sometimes with little advance notice while prioritizing needs of the CEO and Board.
- Various administrative duties as assigned.
Minimum Qualifications:
- Associate’s degree or equivalent combination of education and experience.
- 2-4 years of relative work experience supporting executive leadership in administrative capacity including maintaining meeting schedules, preparing agendas, preparing meeting minutes, and other cross-functional coordination.
- Strong organization, ability to multi-task in a fast-paced environment, and ability to prioritize directives from multiple members of leadership.
- Strong interpersonal, oral communication and written skills.
- Proficiency with Microsoft Office including Word, Excel, PowerPoint, and database management.

Salary Range
$18-23/per hour (non-exempt)
